What is the Attendance, Exam, and Assignment Adjustment (AEAA)?

The Attendance, Exam, and Assignment Adjustment (AEAA) is appropriate when a student has a chronic disabling physical or mental condition that is cyclic in nature. The student’s condition is stable; however, periodic flare-ups impact course attendance/assignments and are unpredictable. The AEAA accommodation should only be considered when natural course options available to all students do not cover a student’s specific medical situation. 

AEAA is not a free pass to miss class whenever or to submit assignments when desired. Responsibility for completing classwork is always in effect. The AEAA accommodation supports occasional and slight adjustments to attendance, make-up exams, and assignment deadlines when necessary for medical reasons. 

Students with the AEAA accommodation will have one of two options listed on the Course Accessibility Letter: 

AEAA Student and Faculty Coordinated: With this option, the student contacts the course professor to discuss an AEAA course plan. Faculty need not act until the student contacts the professor to discuss implementation. Students and faculty are encouraged to finalize a specific plan in writing by using the AEAA – Student Initiated Plan or by outlining a plan by email. Details on course attendance adjustments and make-up exam or assignment options, if any, need to be clearly stated in writing. The plan must be created BEFORE any absences or missed work occurs. The AEAA only applies to absences or missed work directly associated with the medical reason for which the AEAA was approved. Faculty may choose to work with SAS to create a plan even if the student prefers initiating the process directly with course professors. Contact SAS to discuss options. 

OR 

AEAA SAS and Faculty Coordinated: With this option, the student requests that SAS create an AEAA course plan with the professor. With the AEAA SAS and Faculty Coordinated accommodation, professors must take the following actions:  

  • Log into the Knights Access Instructor Portal 
  • Click on “Flex Plan” option located on the left-hand menu 
  • Complete the AEAA Questionnaire within 7 days 
  • Please note that the student will see any comments you include in the questionnaire once SAS approves the plan 
  • Await SAS review and follow-up as needed 
  • The professor and student will be notified by email once the plan has been finalized. The plan will be stored in the Knights Access Flex Plan Module for professor and student reference 
  • The student must contact the professor within 24 hours of needing to use the terms of the plan should a medical need arise

Using the Knights Access Instructor Portal for this accommodation makes it easier: 

  • The completed AEAA Flex Plan will automatically be applied to all future students who request AEAA in this specific course (same prefix, section, and CRN). No further action is needed to transfer the plan for student requests taking the exact same course and section.
  • You can quickly copy one course plan to another course (including the same course but a DIFFERENT section and CRN).
  • Plans made in past semesters can also be copied over to current semester courses.
  • All information for students, professors, and SAS will be stored within the Flex Plan module without having to manage multiple emails
